Senior Fund Administrator



Reports to: Manager

Job summary: The Administrator will be primarily responsible for all aspects of day-to-day administration. You will work closely with the Assistant Manager / Manager and other members of the team.

Key Responsibilities:​

  1. Being the primary point of contact on day-to-day administration matters for one or more clients;
  2. Convene, attend and prepare minutes for board meetings;
  3. Proactively liaise with client contacts, lawyers, auditors and investors;
  4. Coordinate all company secretarial matters for client corporate entities;
  5. Ensure completion of all administrative matters for Luxembourg entities under administration, including but not limited to:
    1. Logging, tracking and responding to client and investor queries;
    2. Maintaining fund registers and files;
    3. Processing distributions and capital calls;
    4. Preparing and distributing investor statements and related client reports;
    5. Store documents and launch workflows in Operational tool
    6. Supervising administrative aspect of payment processing;
    7. Ensuring compliance with anti-money laundering procedures and associated Customer Due Diligence (CDD); and
    8. Logging, tracking and dealing with other regular and ad-hoc tasks.
  6. Ensure adherence to internal policies and procedures and support others.
  7. Assist clients and the wider PE team with transactions and new products.
  8. Play an active role in team meetings and informal meetings. Adopting an open and solutions focused approach at all times.
  9. Identify operational areas of best practice and efficiencies within the administration team and actively support the wider administration team to implement these.
  10. Support the assistant manager in providing coaching to trainee fund administrators.
  11. Other project work and ad-hoc tasks as required.



Essential skills / experience:

  1. Proven experience in company secretarial and transfer agency tasks including convening and servicing annual general meetings and meetings of the board of directors for companies and investment fund structures, producing agendas, taking minutes, keeping a register of shareholders/unitholders, etc..
  2. Proven stakeholder management skills, proven experience in following administrative and operational procedures and excellent organisational skills
  3. Proven experience working across matrix managed delivery teams
  4. Competency in Microsoft applications including Word, Excel and Outlook
  5. ​Understanding of company law and investment funds framework
